Before developing a genuinely effective time management system, we must
recognize and appreciate how time affects our lives.
How we manage our time determines how successful we are at our jobs.
It influences how we balance our personal lives with our professional lives.
It affects our productivity and what we accomplish and, in doing so,
governs our sense of achievement. During stressful times, it dictates our
motivation, prompting us to press on or give up in frustration.
In the following few sections, we’ll examine the fundamentals of good
time management. These are the building blocks. In the same way that our
skeletal system gives our body structure and protects our inner organs, these
building blocks will provide a framework for your time management
system. They will help you use the individual tactics we’ll cover later.
MANAGING YOUR TIME VS. BEING
PRODUCTIVE
We often think of time management and productivity as the same
thing. But they are entirely different from one another.
Productivity involves getting things done. You are checking
items off your to-do list. It’s commonly believed that the more tasks you
complete, the more productive you are (this is a falsehood that we’ll discuss
later).
Time management is about planning your day and scheduling tasks and
projects with different — and changing — priority levels. It’s about being
aware that time is a limited resource and being driven to allocate it
accordingly. It involves observing how you use this resource as your
priorities change.
When we conflate these two concepts, we risk focusing on the wrong
goals. Rather than organizing our time to best suit our priorities and
obligations, we stay on the exhausting treadmill of getting more done at all
costs.
Time Management Isn’t about Time
Have you ever wished you had a few more hours in the day? Have you ever
wondered how much you could get done in a 30-hour day? It’s a natural
craving, especially as your calendar becomes increasingly hectic and
demanding. It also suggests that you’re not making the most of your time.
Most people understandably think of time management as regard to
time. How much time do they have at their disposal? How can they squeeze
more time from their busy schedules? What healthy or enjoyable activities
can they sacrifice (e.g., sleep, breaks, exercise, etc.) to gain more time in
their day?
But time management isn’t about time. It’s about how we manage
ourselves, given that time is a limited resource. How do we prioritize tasks
and projects when there isn’t enough time to complete everything? How do
we respond to emergencies that wreak havoc with our calendar? How do we
strategically adjust our focus as our priorities change?
A 30-hour day won’t make our day any less hectic if we don’t first learn
how to make the most of that time. And that means learning to manage
ourselves and our attention.
